Debrief Notes: Learning from Lost Bids

How to record client debrief feedback on lost projects so Bidaya can help you improve future submissions

When a proposal doesn't win, the client debrief is one of the most valuable inputs for improving future submissions. Bidaya now lets you attach debrief notes directly to a project so the feedback stays linked to the pursuit it came from.

How It Works

Debrief notes become available when you mark a project as Lost. Here's the workflow:

  1. Open the Project you want to close out.

  2. Click the final stage arrow on the project timeline and select Lost.

  3. Enter a Reason for Loss when prompted β€” this feeds into your firm's analytics.

  4. Once the project is marked as Lost, you'll see a Debrief Notes section on the project page.

  5. Upload your debrief notes (Word or PDF format) or type them directly.

What to Include in Debrief Notes

The more specific your notes, the more useful they'll be. Consider capturing:

  • Client feedback on what was strong and what fell short in your submission

  • Scoring breakdowns if the client shared them

  • Specific sections or requirements where you lost points

  • Competitor strengths that were highlighted

  • Lessons learned or action items for future bids

What Happens Next

For now, debrief notes serve as a record linked to the pursuit. In future updates, Bidaya will use these notes to proactively flag patterns across your lost bids and suggest improvements when you're working on similar proposals.

Can I add debrief notes to a Won project?

Not currently β€” debrief notes are available only on projects marked as Lost. If you'd like to capture lessons from a winning bid, you can upload those insights to your Knowledge Library as a supplemental file.

What file formats are supported?

Word (.docx) and PDF (.pdf) files are supported for debrief uploads.
