Intro
Projects are a dedicated workspace for working on your pursuits. It allows you to analyze, manage, and respond to a bid.
Bidaya provides you with analytics on projects created, win rate, and time to completion so you can better understand your pursuit metrics overtime.
Each project can be assigned to a team member in your organization.
Creating a project
Project Files
As soon as you create a project, you are prompted to upload files as context. Project context is usually based on bid documents, but you can provide context in other ways such as notes, meeting minutes, emails, etc.
There are two types of files, you can tag each file appropriately so Bidaya knows how to handle it
RFP files: All official documents issued by the client (e.g. RFP, Addenda, etc.)
Supplemental files: Supporting materials, used to inform your proposal writing (e.g. market research, building codes, etc.)
Analysis Options
When creating the project, you also have the option of having AI answer a set of questions about the bid documents from one (or more) of your Question Banks. You can also run the Q&A later.
Modifying Project files
Project files can be changed in case you want to add (or remove) context. A common example is handling Addenda that get released by the client.
When project files are modified, you have the ability to regenerate the Q&A and Compliance to capture new details.
Project Q&A
Bidaya analyzes project documents for you based on a set of questions in a Question Bank you create. The goal is provide a personalized summary of key facts and insights with citations based on the bid documents so you don't have to manually search through them.
This is helpful for quickly familiarizing yourself with an opportunity or making go/no-go decisions. The questions are fully customizable and you can have multiple questions banks for different opportunity types so this fits perfectly within your internal workflow.
Compliance
Bidaya scans uploaded bid documents for mandatory proposal deliverables and provides you with a detailed breakdown categorized by the type of deliverable required. These are fully editable, either manually by clicking into each one or with AI using the "Regenerate with Feedback" button.
For Document deliverables, the subsections form the skeleton of the bid document. The goal is to provide a table of contents for the proposal based on what was requested in the RFP package.
Deliverables
Deliverables are AI-generated documents structured around sections and requirements. This is where you'd generate a proposal, or other proposal deliverable.
The most common use for this is creating a proposal based on RFP requirements from the Compliance page. Bidaya automatically imports detected proposal documents from Compliance into this page, but you can also create a custom deliverable built on manual or AI-generated sections with a prompt.
Deliverable Editor
Clicking on a deliverable opens an editor split into 3 panes:
Left: list of sections you can click into
Center: editor where generated content for that section will be displayed
Right: AI assistant that allows you to generate and refine content
Generating and refining section content
The requirements field automatically pulls requirements for that section based on the RFP. This is fully editable which allows you to provide additional context and enhance the prompt with specific instructions such as output requirements, staff/projects to reference, and direction.
In addition, you have access to advanced tools to manage the context used for content generation such as filters for specific files in your Knowledge Library or Project Files and accessing the external web.
When generating, the AI will show you its thinking so you have visibility into the thought process and documents referenced for content produced
Generated content is presented in an intuitive rich text editor that lets you manually make changes, or you can simplify chat with the AI Editor to make changes on your behalf.
To avoid hallucination, placeholders will be used in the generated section if required information can't be found in your Knowledge Library
Project Chat
All projects have access to an AI chat which you can toggle in the top right hand corner. The AI has access to the current project's bid documents, your Knowledge Library, the internet, and can generate content as needed.
Note:
For the best proposal writing experience, we recommend generating proposal content in Deliverables rather than within the project chat.
