How it works
Every day, Bidaya monitors thousands of bids from across Canada
Rather than use 'keywords' to search, we use AI to recommend the most relevant bids
Recommendations are emailed to you and can also be accessed via the web portal
AI matching is more powerful than keywords because it looks at the actual scope of work, client type and other nuances that would not be captured by keywords alone. For you, this means a more comprehensive search that returns more relevant recommendations.
How Email Notifications Work
To keep your inbox clean, we intentionally filter your daily email digest. You will only receive an email notification if:
We discover brand new opportunities that haven't been sent to you before.
The AI scores the opportunity as a "Best Fit" for your firm.
Note: The AI often finds "Moderate" or "Potential" fits as well. We do not email these to avoid spamming you, but you can always review them by logging into the Bidaya web portal.
When You'll Receive Your Daily Email
Bidaya runs a full scan of all monitored bid portals every morning. Because new tenders post throughout the early hours of the day, we wait for the scan to finish before sending your digest. In practice, that means most digests are delivered between 9:00 AM and 11:00 AM ET. We can't shift delivery earlier (e.g. 7:30 AM) without missing opportunities posted during our scan window.
If you don't receive an email on a particular day, it usually means no new "Best Fit" opportunities were found for you. Log into the portal to review Moderate and Potential matches.
Modifying your preferences
Recommendations are based on your Company Profile in the Knowledge Library tab which is fully editable for you to refine.
When your account is created, we generate one for your firm based on your firm's website so you have a starting point.
For best results, we recommend that the Company Profile includes:
Company summary: 1-2 sentences about your firm
Core Capabilities & Services: list services you offer
Target Sectors, Clients & Regions: list of target sectors/clients
Negative Constraints & Exclusions: what you don't do
You can also select which provinces you want to get sent bids from under your profile.
Tightening Your Geographic Scope
By default, your account is set to receive opportunities Canada-wide. If you only want to see bids in specific provinces:
Open Knowledge Library → Organization Profile.
Under Regions of Operation, select only the provinces you actively bid in. Deselect the rest.
In Negative Constraints & Exclusions, you can add explicit language like "Do not include opportunities outside Quebec" or "Exclude work in BC and Yukon" — this helps the AI catch edge cases the province selector might miss.
Save your changes. Future digests will use the updated scope (existing matches in your queue won't be removed retroactively).
Tip: If a single out-of-region opportunity slips through, it usually means the RFP itself didn't specify a clear location and the AI used your Canada-wide setting as a fallback. Tightening Regions of Operation typically resolves this.

This covers the vast majority of Canadian bids especially given many opportunities are cross-posted on multiple bid sites (which we clean up for you).
Saving Opportunities
You can save opportunities you are interested in for further qualification. This will automatically create a Project but not the files.
Bid Documents
You will have to obtain the bid documents from the respective source and upload them to Bidaya. You will need an account with the bid portal to access bid documents and submit your response.
After saving, you will be prompted to add bid documents to unlock fill Projects functionality.
Frequently Asked Questions
Why does my daily email arrive mid-morning instead of early in the day?
Our scan runs through the early morning hours so we can capture opportunities posted overnight and at the start of the business day. The digest sends after the scan completes — typically between 9:00 AM and 11:00 AM ET. Sending at 7:30 AM would mean missing same-morning postings.
Why am I getting RFPs from provinces I don't work in?
By default new accounts are set to Canada-wide. To see only bids in your region, narrow Regions of Operation in your Organization Profile and add an exclusion in Negative Constraints (e.g. "Do not include opportunities outside Quebec"). See Tightening Your Geographic Scope above for the full steps.
My digest only had 1–2 opportunities today. Is something broken?
No — we only email new "Best Fit" matches. If only a couple were found, that's all that scored highly enough on a given day. Log into the portal to review Moderate and Potential fits.
A specific recommendation doesn't fit my firm. How do I prevent similar matches?
Add the relevant exclusion to Negative Constraints & Exclusions in your Organization Profile (for example: "No construction-only work" or "No design-build delivery"). The AI uses this on the next scan.
I noticed an opportunity that wasn't recommended to me. Why?
Our recommendation engine matches each opportunity to your firm's Core Capabilities & Services and Target Sectors in the Organization Profile. If those are too generic, narrowly worded, or don't include language that maps to a specific RFP's scope, the engine may score the match below the "Best Fit" threshold and skip it from your digest.
If you spot a relevant opportunity that wasn't surfaced:
Open the bid documents and note the technical scope language used (e.g. "PFAS plume characterization," "trenchless rehabilitation," "transit-oriented development").
Open Knowledge Library → RFP Search and add specific service-area phrases that mirror that scope language. The more specific you are, the better the engine can match similar opportunities going forward.
Message support and we'll re-run the recommendation engine against your updated profile so the missed opportunity (and similar ones) shows up immediately.
